9 Days to March 31: How to File Your SO1 Annual Return Online in Jamaica

Nine days. The eTAJ portal is still moving at normal speed. TAJ offices are not yet overwhelmed. Your accountant still has bandwidth. This is the best moment you will have to file your SO1 Annual Return online — and if you read this guide end to end and act today, you can have it submitted before the evening is over.

Most Jamaican employers who miss the March 31 deadline do not miss it because they forgot. They miss it because they assumed the online filing process was straightforward, tried it the night before the deadline, hit a login issue or a form error, and had nowhere to turn. This guide eliminates that risk. By the time you reach the end, you will know exactly what to expect from the eTAJ portal, what to have ready before you log in, and how to handle every common error that trips up employers in the final week.


What the SO1 Annual Return Actually Is

Before the step-by-step, it helps to understand what you are submitting and why.

The SO1 Annual Return is the document by which you, as an employer, reconcile everything that happened on your payroll during the tax year with Tax Administration Jamaica. It is not the same as your monthly PAYE remittances — those were your ongoing payments throughout 2025. The SO1 is the annual summary that confirms: here is every employee I had, here is what each person earned, here is what PAYE I deducted and remitted on their behalf.

The SO1 also triggers the issuance of P45 forms for employees who left during the year, and feeds into the income tax assessments that TAJ runs on individual taxpayers. If your SO1 is late, wrong, or missing, it does not just affect you — it creates problems in the tax accounts of every employee you had during the year.

Filing online through eTAJ is not optional for most employers in 2026. TAJ strongly prefers electronic submission, and for employers with more than five employees, paper submission creates delays and reconciliation headaches that are not worth it. The eTAJ portal at etax.gov.jm is the correct route.


Before You Log In: What You Need Ready

Attempting to file the SO1 online without your documents ready is the single most common reason employers spend three frustrated hours on what should be a 45-minute process. Prepare everything below before you open the eTAJ portal.

Your payroll summary for all of 2025 — per employee:

  • Full legal name (exactly as it appears on their TRN registration)
  • Taxpayer Registration Number (TRN)
  • National Insurance Number (NIN)
  • Monthly gross salary for every month employed in 2025
  • Total annual gross pay
  • Total PAYE deducted
  • Total NHT deducted (employee portion: 2%)
  • Total NIS deducted (employee portion: 3%)
  • Total Education Tax deducted (employee portion: 2.25%)
  • Any benefits in kind or non-cash compensation (housing, vehicles, etc.)
  • Start date and end date if the employee did not work the full year

Your employer details:

  • Your employer TRN
  • Your PAYE file number (this is different from your TRN — it begins with a letter prefix)
  • Your registered trading name exactly as it appears on your TAJ records
  • Your employer NHT registration number
  • Your NIS employer number

Your bank payment confirmation numbers: For each month of 2025, you should have a receipt or confirmation number from your PAYE remittance. The SO1 asks you to reconcile your annual declaration against what was actually paid. If you have gaps in your monthly remittance history, address them before filing.


Step-by-Step: Filing the SO1 on eTAJ

Step 1: Access the Portal

Go to etax.gov.jm. Do not search for it on Google — typing the address directly avoids ending up on phishing sites that impersonate the TAJ portal. You should see the Tax Administration Jamaica online services homepage.

Click "Login" in the top right corner.

Step 2: Log In With Your Credentials

Enter your employer TRN and your eTAJ password. If you have never logged in before, you will need to register — click "Register" and complete the employer registration process using your PAYE file number to verify your identity. Registration typically takes one business day to confirm, so if you have not registered, do it today rather than tomorrow.

If you have forgotten your password, use the "Forgot Password" link. The reset email goes to the address TAJ has on file for your account — if that email address is no longer active, you will need to call TAJ at 1-888-TAX-HELP (1-888-829-4357) to update it before you can log in.

Common login issue: If the portal returns a "user not found" error on a TRN you know is correct, it typically means the account is registered under a slightly different TRN format (some accounts were registered without leading zeros, some with). Try removing any leading zeros, then adding them back.

Step 3: Navigate to Annual Return

Once logged in, you will see your employer dashboard. Look for the "Returns" section in the left navigation panel, then click "Annual Returns", then select "Employer Annual Return (SO1)".

You will be prompted to select the tax year. Select 2025 (the year ended December 31, 2025, with the return due by March 31, 2026).

Step 4: Enter Employer Summary Information

The first section of the SO1 form asks for employer-level totals. You will enter:

  • Total number of employees during 2025
  • Total gross wages paid to all employees
  • Total PAYE deducted from all employees
  • Total employer NHT contributions (3% of gross wages)
  • Total employee NHT deductions (2% of gross wages)
  • Total NIS employer contributions (3%)
  • Total NIS employee deductions (3%)
  • Total Education Tax employer contributions (3.5%)
  • Total Education Tax employee deductions (2.25%)
  • Total HEART/NSTA levy paid (3% of gross wages, employer only)

These figures should match your running totals across your payroll register for the full year.

Step 5: Enter Employee-Level Detail

This is the most time-consuming section. For each employee, you enter the fields listed above under "what you need ready." The eTAJ portal validates TRNs in real time — if a TRN comes back invalid, you will need to verify the number with the employee or have them contact TAJ to confirm their registered TRN.

Portal tip: The eTAJ system times out after 20 minutes of inactivity. Save frequently by clicking the "Save Draft" button as you work through the employee list. If the portal times out and you lose your data, you will need to start the employee entry section from scratch — this is a common and deeply frustrating experience for employers who work through a long employee list without saving.

For employers with more than 10 employees, consider using the bulk upload function. The portal accepts a CSV file in a specific format. Download the template from the portal, populate it with your employee data in Excel or Google Sheets, and upload it. This is significantly faster than manual entry for larger employers and reduces the risk of data entry errors.

Step 6: Review the Reconciliation

Before you submit, the portal will show you a reconciliation screen. This compares:

  • The total PAYE your SO1 declares was deducted from employees
  • The total PAYE TAJ has on record as received from you via monthly remittances

If these numbers match exactly, you will see a green confirmation and can proceed to submission.

If there is a discrepancy, the portal will flag it. A discrepancy does not mean you cannot submit — it means TAJ will want an explanation. Common reasons for discrepancies include:

  • A monthly remittance that was made but not properly allocated to your account (requires a call to TAJ to trace)
  • A PAYE deduction from a final pay or bonus that was not included in a regular monthly remittance
  • A calculation error in either your monthly filings or your annual summary

Do not try to make the numbers match artificially by changing the SO1 figures. Declare what actually happened and note the discrepancy. TAJ processes thousands of reconciliations — a legitimate discrepancy explained upfront is handled differently from an SO1 that appears to have been manipulated to avoid a discrepancy.

Step 7: Submit

Click "Submit Return". The portal will generate a reference number. Write it down. Screenshot the confirmation page. This reference number is your proof of filing and the only document that definitively shows TAJ received your return by March 31.


After Submission: What to Watch For

Filing is not the same as completion. After submitting your SO1, monitor the following:

Processing status: Log back into eTAJ within 24–48 hours and check that your SO1 shows status "Processed" rather than "Pending." A return stuck in "Pending" may have a validation issue that needs attention.

Employee P45s: Once your SO1 is processed, P45 forms become available for any employees who left during 2025. They need these documents to file their personal income tax returns.

Outstanding PAYE balance: If your SO1 reconciliation showed an amount owed that you have not yet paid, initiate that payment as soon as possible. Payment after March 31 still incurs penalties, but the sooner it is made, the less interest accumulates.


The NHT and NIS Submissions Are Separate

Filing your SO1 with TAJ does not complete your obligations. The NHT Annual Return is filed separately through the NHT employer portal, and the NIS Reconciliation is filed through the Ministry of Labour and Social Security. Both of those also have deadlines tied to the end of the tax year.

Many employers complete their SO1 and consider themselves done — then receive a penalty notice from NHT three months later. All three submissions need to be completed by March 31.


If You're Not Ready to File Today

If your payroll records are not in a state where you can complete the SO1 accurately, do not try to guess and submit incorrect figures. A deliberately incorrect SO1 creates more problems than a late one. Here is what to do:

  1. Get your payroll data into order as fast as possible. Even a rough reconciliation is better than nothing.
  2. Call TAJ at 1-888-829-4357 and explain your situation. In some cases, TAJ can grant short extensions or work out a payment arrangement if you have genuine circumstances.
